AI marketing project process for Singapore SMEs
Start with the work you need done and the decisions your team wants to retain. This is our proposed project framework; the written scope confirms the deliverables, owners and schedule for your business.
Discover the work and the constraints
Bring the pages, messages and routine tasks that your team struggles to keep current. We propose starting with a narrow business question: which service needs a clearer explanation, which enquiry repeatedly waits for an answer, or which content task stalls at approval? Separate the problem from the proposed tool. Record the intended audience, the decision they need to make and the person who can confirm the facts. The discovery output should be a scoped brief with dependencies and unresolved decisions, rather than a promise that automation will solve every problem. If a reliable source is missing, mark the gap before drafting around it.
Prepare the knowledge and access
Agree which offers, service areas, product descriptions and customer questions are current. Ask the business owner to identify approved sources and remove expired offers. Access should follow the tasks in scope: editing a draft need not imply permission to change an advertising budget. The proposed setup record names the accounts involved, who owns them, who grants access and how access is removed. For customer examples, use material the business is entitled to share and remove unnecessary personal details. Missing account access or delayed source approval can change the schedule; make those dependencies visible in the plan.
Create a small working set
Prepare an initial set that makes the scope tangible: a service-page draft, a content calendar, an enquiry answer set or a reporting outline, depending on the service selected. Keep English, Simplified Chinese and Traditional Chinese versions tied to the same underlying facts while writing for their intended readers. Your reviewer should be able to see the source, the draft, the intended destination and the requested decision together. We propose resolving the first complete example before multiplying it across channels. This avoids carrying an unclear offer or an unapproved claim into every later asset.
Test answers, links and handover
For an agent, agree example questions it may answer, questions it must escalate and questions where it should say that the information is unavailable. Include ambiguous requests, outdated offers, complaints and attempts to change its instructions. For website and content work, check navigation, contact paths, language equivalents and the relationship between visible text and metadata. Keep a written list of issues and the person responsible for resolving each one. The test output is a set of accepted behaviours and known limits. It is not evidence that every future question, channel failure or customer situation has already been covered.
Approve the release boundaries
Before release, identify the person who approves copy, the person who can authorise spending and the person who handles escalated enquiries. Agree what happens if a reviewer is unavailable: waiting, pausing or handing the item back should be deliberate choices. Prices, availability, regulated statements and customer commitments need an explicit owner. Record changes after approval so that the accepted version remains identifiable. A proposed approval record includes the asset, version, approver, destination and any conditions. An approval to publish one page should not silently become permission for an agent to make unrelated commitments on behalf of the business.
Launch in stages and keep a fallback
Choose an initial channel or task and identify a practical way to pause it. For enquiry handling, confirm where a human receives the handover and what information accompanies it. For a website, confirm the release destination, contact links and the recovery arrangement before changing the live site. A staged launch is a planning approach, not a fixed delivery date: account access, review speed and integrations affect the sequence. If a dependency is unresolved, keep that part out of the release and record the next decision. Ask for evidence that the agreed customer journey works before expanding the scope.
Review evidence and choose the next work
Agree a baseline and a review format before discussing improvement. Separate outputs such as published pages from observations such as search impressions and from business outcomes such as qualified enquiries. For AI answers, retain the question, date, provider, language, wording and cited sources so that a later result has context. Discuss errors, unanswered questions and handover failures as well as positive signs. Each review should end with a short priority list: maintain, correct, expand or stop. If you are planning an initial quarter, use discovery, a limited release and a review as milestones; the quote must specify the actual dates and deliverables.
Hand over the working record
At handover, ask for the accepted assets, the current source set, the access list and the status of any unfinished work. Distinguish what your team can edit directly from what needs a supplier or external subscription. For an agent, include the approved answer boundary and the person responsible for updating it. For content, include the accepted versions and where they are used. Agree how a future correction is requested and which maintenance tasks continue under the quote. A clear handover lets the business understand the work it has commissioned without having to reconstruct the project from old messages.
